The Receptionist will manage front office operations, including welcoming visitors, answering calls, scheduling appointments, and handling general administrative tasks. This role requires strong organizational skills, attention to detail, and excellent customer service abilities. The ideal candidate will have office administration experience and the ability to multitask in a fast-paced environment. What does the Receptionist do?
- Operate the head office telephone, transferring/forwarding calls to the appropriate person.
- Serve as the first point of contact for customers, answering general inquiries and providing information to the public.
- Act as a liaison, arranging, sending, receiving, and sorting correspondence between customers, branches, business partners, and external vendors.
- Collect, sort, distribute, and prepare incoming and outgoing mail.
- Listen to and respond to voicemails, forwarding them to the appropriate individuals when necessary.
- Answer general customer inquiries via telephone or email, and forward them to the relevant team member when required.

- Confident with the use of Microsoft Office Suite (i.e., Outlook, Planner, Word, Excel, PowerPoint, SharePoint, etc.)
- Comfortable answering incoming calls, returning voicemails & responding to emails
- Potential to work on multiple projects/tasks simultaneously while prioritizing responsibilities
- Ability to build & maintain relationships through phone & email correspondence
- Potential to monitor & check work or information while demonstrating a concern for all areas involved
- Ability to navigate, evaluate & communicate information online or in a digital format
- Knowledge of office procedures & practices
- Strong attention to detail & customer service skills
- Active listener with excellent oral and written communication skills
Qualifications:
- Completion of secondary education diploma or equivalent
- Post-Secondary Education in business administration, office administration, or related field is an asset
- 1-2 years’ experience in business/office administration and/or customer service
- Experience using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Planner, SharePoint, etc.)
- Insurance or Financial Services industry experience is an asset
